Project Coordinator Position

Job Description

The Project Coordinator is a crucial role to the success of our adoptive family and group projects. Reporting to the Executive Director, the coordinator must excel at professional communication, efficient organization, and being attentive to detail. In addition to timely communication with families coaching them through completing a project alongside our Founder, you’ll also oversee the data entry and depositing of donations and providing payouts of those funds. Empathy, encouragement and a Christ-like attitude is key to this role. A person in this role should have a passion for widows and orphans and living out James 1:27.

Responsibilities

Project Coordination:

  • Primary contact for all families and project managers
  • Provide support through email, phone calls, text messages, and our online Project Toolkit through the Both Hands website
  • Provide encouragement and prayers for families and project managers
  • Maintain and continually improve project planning documents
  • Review, improve, develop, and approve fundraising letters for all projects
  • Create and maintain project webpages and fundraising pages
  • Collect, note, and store all data, photos, videos, supply donations, and waivers
  • Make updates to WordPress websites as needed


Project Account Management:

  • Primary contact for all project accounts to answer questions about funds raised
  • Review and approve project applications and oversee application process
  • Create and maintain detailed files and reports for each fundraising account
  • Send weekly reports to families and project managers with the total funds raised, funds granted, and account balances
  • Coach families and project managers through the process of accessing funds
  • Verify all account payment submissions and reimbursement meet IRS guidelines
  • Prepare and issue payments (grants) for project accounts
  • Reconcile payouts between accountant reports, Both Hands bank accounts, and campaign reports for each Both Hands fundraising account
  • Weekly donation entry into donor database and create bank deposit reports
  • Maintain donor database to ensure all donations are accounted for correctly


Project Development:

  • Oversee the project process and work with the staff to increase project efficiency
  • Represent Both Hands’ mission and strategize ways to raise awareness
  • Assist the Founder and Executive Director with building partnerships with adoption agencies, consultants and other relevant organizations


Miscellaneous:

  • Organization of office files and documents
  • Contribute to weekly devotions and staff meetings, providing updates on all BH projects
  • Participate in quarterly team-building activities and travel to 2-3 conferences per year
  • Assist with annual fundraising campaigns and sending letters (mainly including our spring Vision Project and year-end giving campaign)
  • Flexibility to complete other tasks and responsibilities to fulfill the mission of Both Hands
  • Option to work remote on Fridays and potentially additional days of the week as needed

Requirements

  • Must be proficient in Microsoft Excel, Word, and all Google Suite applications
  • Database management and/or nonprofit work experience is a plus
  • Possess a servant’s heart, entrepreneurial spirit and winning drive
  • Creative problem solver and enjoy working in a collaborative environment
  • Must have a valid driver license and be willing to run minimal errands when needed
  • This is a full time position located in Nashville, TN
